Administrative Assistant I – Police Administration

Starting Pay Range: $15.00 – $18.50
POSITION SUMMARY
Provide high level clerical and administrative assistance for various divisions within the department; working closely with command staff to provide superior staff support.
DUTIES AND RESPONSIBILITIES
- Answer telephone calls and take messages for administrative staff
- Provide support in drafting correspondence, mailing / sending correspondence, coordination and scheduling of meetings, and management of the police department meeting calendar
- Draft / create forms to be utilized by divisions within the police department
- Create, maintain, and manage various databases
- Maintain the training calendar for police department staff, assist with completion of travel requests / travel summaries, and arrange hotel and travel arrangements as needed
- Complete tasks assigned by command staff, to include; completion of CPOST paperwork for new hires / position changes, assistance with background check phone calls and template letter preparation, assistance with product research for various divisions, ordering of various office equipment or supplies as needed
- Organization of department events, awards ceremonies, Citizens’ Academy, to include sending invitations, ordering event supplies, making food arrangements / orders, and coordination of staff assisting with events
- Responsible for management of the police department’s online policy system; making clerical changes to policies as dictated by department administrative staff or by statute, pushing out policy acknowledgements and training bulletins to department staff
- Assistance managing the police department tip line and transferring messages to the proper department; completion of tip forms as necessary for further assignment
- All other duties as assigned
Qualifications
- Working knowledge of computers and applicable software programs (Microsoft Word, Outlook, Excel) and any other application-based software deemed necessary to complete daily tasks
- Ability to learn other basic software programs to assist completion of daily tasks
- Must be able to appropriately handle confidential information
- Strong grammar and writing skills
- Ability to organize and prioritize workloads, work under pressure, and meet deadlines
- Considerable knowledge of the rank structure within the police department and city and department policies and procedures
- Ability to work independently and make sound decisions
Requirements
- Minimum education high school diploma or equivalent
- Minimum of three years as an administrative assistant or similar clerical experience
- Must possess a valid driver’s license and be able to pass a background check
